Privacy Policy

Introduction
Snubbas is operated by Machine Banana Inc. ("Machine Banana," "we," "our," or "us"). This Privacy Policy explains what personal data Snubbas collects, how it is collected, every use we make of it, who it is shared with, and the rights you have over it. It applies to the Snubbas mobile app and related services (the "Service").
Information we collect
We collect five kinds of information.
- Information you give us. Your account details (name, email address and password) and your profile — such as your role, title, language, time zone, city, country and the days you work — plus a profile picture if you add one. Everything you write or say in your conversations with Snubbas: the builds you commit to, your reflections and answers, and the goals you set. Photos and files you attach to a message. Voice recordings, when you dictate instead of typing.
- Information your organisation gives us. If you use Snubbas through your employer or another organisation, an administrator or team leader there may add your first name, last name, email address and role before you have joined, and place you on teams. The organisation's administrator also describes the organisation itself — what it does, where, and how it is run — so that Snubbas can coach with that context. Being added does not contact you: nothing is sent to you until you are invited.
- Information Snubbas produces. To keep context from one conversation to the next, Snubbas keeps notes about you drawn from what you have told it — for example your role, your goals and how your recent days have gone. It also records your progress: your daily builds and how they turned out, your streak, and your level in the Builder journey. From a team's conversations it produces anonymous feedback for that team's leader, described under "Who sees what inside your organisation".
- Information your leader adds. If you are on a team, your leader can record a private 1–4 assessment of how you are doing, also described under "Who sees what inside your organisation".
- Technical information. The servers that run Snubbas keep technical logs — for example when a request was made and whether it failed — to operate and secure the Service. The app contains no advertising, analytics or crash-reporting software, and does not track you across other apps or websites.
How we use it
- To coach you. To answer you, remember your goals and history, and keep track of your progress.
- To run teams. When you use Snubbas through an organisation, to show you, your team and your leader what is described under "Who sees what inside your organisation".
- To operate and secure the Service. To keep it working, investigate problems you report, and protect it against misuse.
- To contact you about the Service. For example the email that invites you to join, or a password reset you ask for.
We do not use your data for advertising, we do not sell it, and we do not use it to train AI models — neither ours nor our providers'.
Legal basis
Where the EU or UK General Data Protection Regulation applies, we rely on these legal bases:
- Performance of a contract for providing the Service to you or to the organisation you use it through: your account, your conversations, your progress and the team features.
- Consent for sending your conversation content, attachments and recordings to our AI provider. You give it on the screen described under "AI processing and who it involves", and you can withdraw it at any time by contacting us. Snubbas cannot coach you without it, so withdrawing ends your use of the Service, but it does not affect anything else about your relationship with your organisation.
- Legitimate interests for keeping the Service secure and working, and — on behalf of your organisation — for its team features, such as a leader's assessments and anonymous team feedback. You can object to this at any time, and we will stop unless there are compelling legitimate grounds that override your interests.
AI processing and who it involves
Every product built on AI sends what you write to the company whose model answers it, and Snubbas is no exception: to generate a reply, the Service transmits your conversation content to a third-party AI provider, which processes it and returns the response. That much is unavoidable. What happens to your content once it arrives is not, and that is what the rest of this section is about.
- Who processes your conversations. Google, whose Gemini models generate the replies you receive, whose speech service reads them aloud when you use voice, and which transcribes your recording when you dictate rather than type. We do not send your conversation content to any other AI provider.
- What is sent. The messages you write and the photos and files you attach, together with the context needed to answer you — your current and recent builds, your reflections, your role, what Snubbas knows about your organisation, and, if you lead a team, information about that team when you discuss it. If you dictate rather than type, the recording itself is sent for transcription; replies you have read aloud are sent to be turned into speech.
- What they may not do with it. Our agreement with Google requires that your content is used only to produce your reply, your transcript or your audio, and not to train their models. They are bound to protections equivalent to those described in this policy.
- You are asked first. Before anything you write is sent, the app explains what will be shared and with whom, and asks you to agree. You can reread that explanation at any time under "AI and your data" in the app menu.
Who sees what inside your organisation
If you use Snubbas on your own, nobody else sees any of this. If you use it through an organisation:
- Your conversations are never shown to anyone in your organisation — not your leader, not your colleagues, not its administrator.
- Your team sees what you commit to building each day, the main obstacle you named and how you plan to get past it, and whether the build succeeded.
- Your leader sees the same, plus a weekly view of the team's activity in which members appear under letters rather than names, and anonymous feedback on their leadership that Snubbas draws from the team's conversations. That feedback carries no names and never shows a conversation. In a very small team, bear in mind that anonymous feedback can sometimes still be recognisable.
- Your leader's assessments. Your leader can record a private 1–4 assessment of how you are doing and see how it changes over time. It is not shown to you in the app, but it is personal data about you, and you can ask us for it (see "Your rights").
- Your organisation's administrator sees the organisation's list of people — names, email addresses, roles and teams — can open each team to see its daily builds, and can add or remove people and change teams and who leads them.
Automated decisions
Snubbas does not make decisions about you that have legal or similarly significant effects based solely on automated processing. Its coaching and the anonymous team feedback are produced by AI, but any assessment of how you are doing is made by a person — your leader — and not by Snubbas.
Your organisation's role
When your employer or another organisation gives you access to Snubbas, it decides who is added, which teams they are on, and who leads them.
Your organisation is responsible (the "controller") for the information it adds about you and for how it uses the team features; for that information, Machine Banana acts on its behalf. Machine Banana is responsible for your coaching conversations and what Snubbas keeps from them, which your organisation never sees.
You can bring any question or request to your organisation's administrator or to us, and we will make sure it reaches whoever needs to act on it.
Where your data is stored
Snubbas runs on the Appivo cloud platform, provided by Appivo AB, a separate company. Appivo hosts and operates the Service for us, and stores what the Service keeps about you — your account and profile, your conversations, attachments, builds and reflections — on Google Cloud Platform infrastructure.
- On our behalf only. Appivo processes your data solely to host and run Snubbas, on our instructions, and is bound to protections equivalent to those described in this policy.
- Voice recordings are not kept. When you dictate, the recording is held only long enough to be transcribed and is deleted straight after. The text it becomes is stored as part of your conversation.
- Who can access it. Access to stored data is limited to authorised personnel at Machine Banana and Appivo, and only where it is needed to operate, secure or support the Service — for example to investigate a problem you report. Your conversations are not otherwise read by anyone.
- Security. We use industry-standard encryption to protect your data in transit and at rest.
International transfers
Your data may be processed outside the country where you live — by us, by Appivo on Google Cloud Platform, and by Google for AI processing. Where personal data from the European Economic Area, the United Kingdom or Switzerland is transferred to a country without an adequacy decision, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or the EU–US Data Privacy Framework. You can ask us for a copy of the safeguards that apply.
How long we keep it
We keep your data for as long as your account is active and as needed to provide the Service. On a valid deletion request we permanently remove your personal data and conversation history within 30 days.
If you are removed from an organisation, you come off its list and its teams; your own account and history stay yours until you ask us to delete them.
Your rights
Depending on where you live, you may have the right to:
- Access your personal data — including your leader's assessments of you
- Have inaccurate or incomplete data corrected
- Have your data deleted
- Receive your data in a portable format
- Object to processing based on legitimate interests
- Withdraw your consent, where we rely on it
Snubbas accounts are created by the organisation you use it with rather than by self-registration. To exercise any of these rights, including deletion, contact us at the address below and we will act on your request directly.
You also have the right to complain to a data protection authority — in Sweden, the Swedish Authority for Privacy Protection (IMY), or the authority where you live or work.
Children
Snubbas is a tool for work and is only for people aged 18 or over. We do not knowingly collect data from anyone younger; if you believe someone under 18 has been given an account, contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. We will tell you about significant changes through the app or by email, and update the date at the top. Where a change materially affects what is shared and with whom, the app asks you to agree again.
